Data Deletion Instructions

Learn how to delete your NovatraCloud account and associated personal data

Overview

NovatraCloud is committed to protecting your privacy and ensuring that you have control over your personal data. This page explains how you can request the deletion of your account and associated data, in compliance with the Nigeria Data Protection Regulation (NDPR) and other applicable privacy laws.

There are two ways to delete your data:

  • Self-service — Workspace owners can delete their workspace directly from within the application.
  • Email request — Any user may submit a data deletion request by emailing our privacy team.

1. Self-Service Deletion (Workspace Owners)

If you are a workspace owner, you can delete your workspace and all associated data directly from the application:

  1. Log in to your NovatraCloud account at https://cms.novatracloud.com
  2. Navigate to Settings → Workspace Settings
  3. Scroll to the Danger Zone section at the bottom of the page
  4. Click Delete Workspace
  5. Confirm the deletion by typing the workspace name when prompted

Once you confirm, the workspace and its data will be soft-deleted immediately. Your access to the platform will be revoked, and you will be redirected to the login page.

After deletion, your data enters a 90-day grace period during which it can be restored upon request. After 90 days, the data is permanently and irreversibly deleted from our systems.

2. Data Deletion by Email Request

Any user (including team members and customers) may request data deletion by emailing our privacy team. This includes:

  • Individual users who want their personal data removed from a workspace
  • Workspace owners who cannot access their account and need assistance
  • Customers whose data was submitted to the platform by a business using NovatraCloud

Please include the following information in your email to help us process your request efficiently:

  • Subject line:“Data Deletion Request”
  • Full name as registered on the platform
  • Email address associated with your account
  • Workspace name (if applicable)
  • Reason for deletion (optional, but helps us improve)
  • Whether you are requesting deletion of:
    • Your individual account only
    • Your entire workspace and all associated data
    • Specific customer data only

3. What Gets Deleted

When you request data deletion, the following data will be permanently removed from our systems:

  • Account Information: Your name, email address, phone number, and login credentials
  • Workspace Data: All orders, products, inventory records, delivery information, and business settings
  • Customer Data: Customer names, phone numbers, addresses, and order history associated with your workspace
  • Communication Logs: WhatsApp message logs, notification history, and email communications sent through the platform
  • Team Data: Team member accounts, roles, and permissions within the deleted workspace
  • Integration Data: Connected third-party service credentials (Paystack, WhatsApp, etc.)
  • Billing History: Subscription records, invoice history, and payment logs

4. What Is Retained (Legal Obligations)

Certain data may be retained for legitimate legal and operational purposes even after deletion:

  • Anonymised Analytics: Aggregated, anonymised usage statistics that cannot be linked back to you
  • Financial Records: Transaction records required for tax and accounting compliance under Nigerian law. These are retained for the period mandated by the Companies and Allied Matters Act (CAMA)
  • Audit Logs: Security and compliance audit logs that document system access and changes

5. Deletion Timeline

The data deletion process follows this timeline:

Step 1: Request Received

We acknowledge your request within 48 hours. For self-service deletions, this is instant.

Step 2: Verification

We verify your identity to prevent unauthorised deletions. This may require confirmation via your registered email address.

Step 3: Deletion (Immediate — Self-Service)

Self-service deletions are processed immediately. The workspace is soft-deleted and access is revoked.

Step 4: Permanent Erasure (90 Days)

Data is permanently and irreversibly deleted within 90 days of the initial deletion request. During this period, data can be restored upon request if the deletion was made in error.

6. Data Portability (Export Before Deletion)

Before requesting deletion, you have the right to request a copy of your data in a portable format. To export your data:

  • Log in to your workspace and use the Export features available in each section (Orders, Products, Reports, etc.)
  • Or email privacy@novatracloud.com with the subject “Data Export Request” and we will provide your data in a structured, machine-readable format (CSV or JSON) within 30 days

7. Third-Party Data

If you have connected third-party services to your NovatraCloud account (such as Paystack, WhatsApp, or email providers), deleting your NovatraCloud account does not automatically delete data held by these third parties. You will need to contact them directly to request deletion of your data:

  • Paystack: Contact Paystack support or delete your Paystack account via their dashboard
  • WhatsApp/Meta: Manage your WhatsApp Business Account through Meta Business Suite
  • Supabase: Data hosted on Supabase is managed through NovatraCloud's account
